The announcement text: Foreign company is expanding its business in Ukraine and looking for Administrative & accounting assistant.

Job Purpose
• Work closely and in full cooperation with the Deputy Director and Managing Director and provide comprehensive service and support on administrative and accounting matters
• Maintain a sound and effective office organization.
• Establish and maintain effective interfaces with the relevant departments of the Company in Hamburg and the external service provider(s).
• Be present in the office on a 20-working hours/week basis.


Major Responsibilities:
• Handle communications: mail, fax, email and telephone in an efficient, responsible and pleasant way.
• Manage incoming and outgoing correspondence in compliance with the company’s internal instructions and procedures. Keep track of all correspondence, follow-up on the outgoing correspondence, save correspondence copies and tracking info in electronic database, organize and maintain office files.
• Assist in the organisation of public relations events.
• Ensure financial and accounting paperwork in accordance with current legislation of Ukraine. Keep track of the office accounting documents and handle bookkeeping of these documents, make sure of the availability and timeliness of the accounting documents received and issued by the office, provide necessary originals and copies to the external service provider and sign respective Acts of document transfer-acceptance.
• Coordination and/or initiation of internal approval process related to invoices, expense reports, bank/cash transactions, tax returns and other business related documents in compliance with the company’s internal instructions and procedures and in close cooperation with the relevant departments of the Company in Hamburg.
• Ensure proper documentation, filing and archiving of business related documents according to the relevant legislation of Ukraine.
• Secure HR-related paperwork and keep track of the office HR documents and maintain their proper filing (including but not limited to: orders/prikazy, business trips certificates/komandirovochnie, leave/otpuska, respective electronic registers, etc.), work with the external service provider to make sure of the availability and timeliness of the HR documents received and issued by the office, provide necessary copies to the external service provider.
• Coordination and/or initiation of office related procurement process in cooperation with the Deputy Director and Procurement Office of the Company in Hamburg.
• Work on administrative tasks as appropriate.

Qualifications & Experience:
• Degree level education (University Degree or Certificate in Economics, Business / Financial Administration or similar)
• General knowledge of the relevant rules and regulations applicable in Ukraine for accounting and taxation; knowledge of C1 accounting software is a plus.
• Excellent communication and organizational skills
• Language skills: Ukrainian, Russian, English (working level).
• Experience in an office environment of a foreign company based in Ukraine is a plus.
